Enrolment Policies

Below are enrolment policies for Children’s Music Academy.

Terms

The word Lesson or Lessons means any a face to face lesson or online lesson.

The words Private Tuition means a lesson including only one student and the teacher.

The words Group Tuition means a lesson including more than one student and the teacher.

Clause 1. Invoices

Tuition fees are invoiced in advance for the number of lessons outline on the invoice and can be for one school term, two school terms or for the remainder of a school term. Invoices for a whole term or terms of tuition are emailed to parents / guardians approximately one month prior to the end of the previous term. Fees are payable by the due dates specified on each invoice. A Creative Kids voucher can be used towards payment of an invoice subject to Clause 9. Additional Terms and Conditions.

Failure to pay an invoice in full by the due date may result in the suspension of the student from lessons until the full amount owing has been paid.

Any invoice more than two week over due will result in a late fee of $30 being charged unless a prior arrangement to make payment has been organised.

Failure to pay an invoice may result in the debt being refereed to a debt collection agency.

Clause 2. Payment

Payment is accepted by PayID, Direct EFT Bank Deposit, Cash or Cheque. When paying by cheque the parent / guardian will be responsible for meeting any bank charges incurred if the cheque is dishonoured.

Clause 3. Discounts and Special Offers

To receive the reduced lesson price for a discount or special offer requires the total reduced invoiced fee to be fully paid for the full duration of the offer as defined on the invoice.

Only one special offer or discount can be applied per student.

The discount or special applies only to the lesson fee charged for music tuition.

When learning more than one instrument any discount will be applied to the music lesson with the lower tuition fee.

Only promotions listed on the promotions page of the website (LINK TO PROMOTIONS) are valid, current promotions.

Clause 4. Absences Policy

Clause 4.1a Make Up Lessons for Group Tuition

Make up lessons for group tuition are offered by Children’s Music Academy throughout the year. Our policy is to not offer credit lessons or refunds for students who have missed classes. We will endeavour to accommodate the student in another similar level make up class. If a student misses a lesson for any reason a make up lesson is offered, up to a maximum of 2 make up lessons per term and subject to the conditions that  (1) a makeup lesson cannot be rescheduled more than one time and (2) written notice must be given, when a student is absent for two or more consecutive lessons, to be eligible for up to two makeup lessons.

This clause is subject to the terms outline in clause 7. Exceptional Circumstances.

Clause 4.1b Make Up Lessons for Private Tuition

Make up lessons for private tuition are offered by Children’s Music Academy throughout the year. Our policy is to not offer credit lessons or refunds for students who have missed a lesson. If a student misses a lesson a make up lesson is offered, up to a maximum of 2 make up lessons per term and subject to the conditions  that (1) a parent or guardian must inform Children’s Music Academy of the absence prior to the lessons scheduled time and (2) a makeup lesson cannot be rescheduled more than one time. Any requests for additional makeup lessons is at the sole discretion of Children's Music Academy.

This clause is subject to the terms outline in clause 7. Exceptional Circumstances.

Clause 4.2 Planned Student Absence

If a parent or guardian informs Children’s Music Academy of a planned student absence (i.e. going away on a holiday) prior to the start of a term or prior to the invoice being paid, whichever is the earlier, then the invoiced number of lessons can be reduced by a maximum of two lessons per term. Any additional absences can be taken as make up lessons.

Clause 5. Teacher Absent or Lesson Cancelled

If a teacher is absent or a lesson is cancelled by Children’s Music Academy, then we will endeavour to accommodate the student in another similar level class for a make up lesson. We offer make up classes 7 days a week. If you cannot make the rescheduled lesson, you will be eligible for a credit of the lesson cost.

Clause 6. Cancellation of Tuition

Cancellation of any music tuition invoice as described in clause 6.1 and clause 6.2  are subject to the terms outlined in clause 7. Exceptional Circumstances,  clause 1. Invoices, clause 9.1. Creativity Kids Vouchers Terms and Conditions and Clause 9.2 Critical Information.

Clause 6.1 Cancellation of Invoiced Tuition Once Lessons have Started

Cancellation of a student’s invoiced tuition requires the parent or guardian to give written notice.  Written notice can be an email, a text / SMS message or a handwritten note, and must include a date and written statement clearly indicating the intention to cancel invoiced lessons. This clause applies to notifications to cancel tuition (1) received within seven days of the date of the first invoiced lesson or (2) received on or after the date of the first invoiced lesson.

From the date of cancellation, a cancellation fee is charged per student . The fee is equal to either (1) four weeks of music lessons or (2) the number of music lessons until the end of term if less than four weeks.

Any outstanding lesson fees will be paid to the parent or guardian four weeks after the date the notice of cancellation is received.

Clause 6.2 Cancellation of Tuition Before the Date of the First Invoiced Lesson

When tuition fees are paid prior to the commencement of lessons, written notice is required when cancelling a student’s tuition. Written notice can be an email, a text / SMS message or a handwritten note, and must include a date and written statement clearly indicating the intention to cancel lessons. This clause applies to notifications to cancel tuition received more than seven days prior to the date of the first invoiced lesson.

A $50 cancellation fee is charged per student.

Any outstanding lesson fees will be paid to the parent or guardian four weeks after the date the notice of cancellation is received .

Clause 7. Exceptional Circumstances

If there needs to be a temporary closure of teaching venues or a temporary suspension of classes which is outside of our control, then Clause 6, Clause 5, Clause 4.1a and Clause 4.1b would be temporarily suspended until the closure ends or suspension ends, with any missed lessons offered as credit or make up lessons once classes resume.

Clause 8. Personal Property

Children’s Music Academy does not accept liability for the loss of any personal property.

Clause 9. Additional Terms and Conditions

Clause 9.1 Creativity Kids Vouchers Terms and Conditions

All Creative Kids vouchers presented to Children’s Music Academy are subject to the Creative Kids Recipient  Terms and Conditions issued by Service NSW.  All vouchers once redeemed with Service NSW are non refundable, cannot be redeemed for cash, cannot be transferred to another provider and cannot used after the expiry date as shown on the voucher.

 

Clause 9.2 Critical Information

(a) The parent or guardian is responsible to ensure the correct student and contact details are provided to Children’s Music Academy.

 

(b) Should a parent or guardian be eligible for a refund of fees then they are responsible for providing the required banking details to facilitate the transaction.

Clause 10. Cancellation of Non-Tuition Fees

Cancellation of fees not related to music tuition, such as exam fees, concert tickets, and workshop fees, will incur a cancellation fee of 15% of the original fee charged. In case the cancellation is related to an event with a specific date, such as a workshop or concert, written notice of cancellation must be received at least two days prior to the specified event date. If the cancellation is made within two days of the event date, no refund will be given.

Any outstanding non-tuition fees will be paid to the parent or guardian four weeks after the notice of cancellation is received.

Clause 11. Acceptance of terms and conditions

The terms and conditions shall be deemed to have been accepted and agreed to by you upon part or full payment of the tuition fee invoice or upon attending one or more lessons, whichever is the earlier.

All agreements pertaining to the teaching of courses to students by Children’s Music Academy are subject to these terms and conditions to the exclusion of all other terms and conditions. No variations or addition to the terms shall be binding unless agreed in writing by Children’s Music Academy and the parent.

These policies will be changed from time to time, at our sole discretion. We will notify you of amendments to these policies by posting them to this page.

Our music teachers are highly skilled music educators that specialise in teaching children how to learn an instrument. We are conveniently located for families living in Baulkham Hills, Glenwood, Castle Hill, Winston Hills, Rouse Hill, The Ponds, Kellyville,  Beaumont Hills, Bella Vista, Blacktown, Carlingford and North West Sydney.
